Executive summary 

Alluvion has helped a Belgian credit insurance group increase its automation in SAP MDG by enhancing the standard Process Analytics capabilities. Standard reporting lacked visibility into the automation rates and root causes of manual interventions, which limited improvement efforts. By developing two custom applications, tracking Automated Approval Rates and Reasons for Manual Work, the organization gained clear, actionable insights. This enabled targeted process improvements, reduced manual workload, and higher automation efficiency. 

Introduction 

In today's data-driven business landscape, effective management and governance of master data are imperative for companies to maintain competitiveness and operational excellence. SAP Master Data Governance (MDG) stands as a cornerstone solution, empowering them to streamline their master data management processes across various domains.  

Alluvion has actively supported a Belgian credit insurance group present throughout the European continent on enhancing their master data governance processes by integrating their third-party systems within SAP MDG. One of the big goals of our client is to automate this integration as much as possible. Manual interventions are only needed in case certain validations fail and need to be reduced to an absolute minimum. 

Simple Process Overview

The Challenge 

The integration of Process Analytics into these workflows offers unparalleled insights into the “Process Automation” rate of Business Partners entering SAP MDG via the interface. Even though this SAP Standard functionality offers significant benefits in monitoring and enhancing data governance practices, it did not completely meet our client’s requirements for these “Process Automation” analytics.

The standard Process Analytics applications only provide insights on Change Request level, however they required different counters to visualize their “Process Automation” rate in custom reports. The current configuration of the SAP standard Process Analytics framework in MDG did not foresee the required counters to cover these scenarios.

Impact on business processes 

Given the absence of a report tracking the Automation Rate, as well as the lack of mechanisms to detect the underlying reasons for manual interventions, the fundamental factors contributing to a low Automation Rate remain unidentified. 

The inability to visualize and address these root causes impedes the efforts of the master data team to improve the quality of the BP master data entering the MDG system in an effective and efficient way.  

The increased and permanently high workload for the team results in a cycle in which they are burdened with a continuous stream of manual interventions that persist without effective remediation strategies in place.

Alluvion’s Custom Solution 

Alluvion was called to develop custom Process Analytics applications to visualize different KPIs in the customer’s “Process Automation” story. After a thorough analysis of the requirements and some brainstorming within the Alluvion MDG team, we decided to extend the SAP MDG Process Analytics framework with two custom applications:  

Both Apps

The “Automated Approval Rate” application for Change Requests created in SAP MDG via the interface. 

- This application shows how the Automation Rate evolves over time and visualizes the possible differences in this rate between the different third-party systems or Business Partner countries.

The “Reasons of Manual Work” app for Change Requests not automatically approved in SAP MDG.  

- This tile provides different graphs and tables that show the reason(s) for a Change Request not automatically being approved in SAP MDG. End users can navigate in this application to see the differences in Reasons of Manual Work over time, between countries or third-party systems.

In order to build these two applications, custom CDS views had to be developed, as an extension to the existing framework, to read out the following details of a Change Request: 

  1. All Reasons of Manual Work in the Notes of the Change Request
  2. The Country of the Business Partner created in the Change Request
  3. The Source, or third-party system, that has sent the Business Partner
  4. The Creation Time of the CR. 

The “Automated Approval Rate” application uses the SAP standard counter for Process Analytics, meaning that one Change Request is displayed as one item in the reports. The second tile, “Reasons of Manual Work”, makes use of our new custom counter, where one Reason of Manual Work is counted as one item in the reports.

Conclusion 

The result of this Process Analytics Extension project is that the organization can now quickly consult their Process Automation rate and identify the root causes for manual interventions in these processes in two easy-to-understand and structured applications.  

In the new custom applications, the evolution over time of these KPIs as well as differences between countries and source systems is visualized.
