What are Workflows in SAP Reltio?
Workflows in SAP Reltio define how master data changes are proposed, reviewed and approved before they are applied. They help organisations maintain data integrity, consistency and compliance by ensuring that changes follow predefined business processes.
Workflows are particularly useful when organisations want to introduce a separation of duties between users who propose changes and those responsible for reviewing or approving them. This provides greater control over master data and reduces the risk of incorrect or unauthorised changes.
Workflow tasks are managed through the Reltio Inbox, which provides a central location where users can view and manage tasks assigned to them or their teams.
Out-of-the-Box Workflows
SAP Reltio provides three out-of-the-box workflows that support common master data governance scenarios.
Potential Match Review (PMR)
The Potential Match Review workflow allows users to review potential matches identified by SAP Reltio. Reviewers determine whether two profiles represent the same real-world entity or should remain separate. This supports duplicate resolution and helps maintain consistent master data.
Recommended Delete
The Recommended Delete workflow introduces a review step before a profile is deleted from SAP Reltio. This allows authorised users to review proposed deletions and helps organisations maintain control over data removal.
Data Change Request (DCR)
The Data Change Request workflow manages proposed changes to existing master data profiles. Instead of applying changes directly, users can submit a request for another user or authorised reviewer to review and approve.
The requester can receive notifications when a request is approved or rejected. Reviewers can also receive email notifications when a workflow task is assigned to them.
These standard workflows provide a starting point for common data governance requirements. However, organisations may have more specific approval processes that require additional configuration or customisation.
Custom Workflows
When the out-of-the-box workflows do not fully meet an organisation's business requirements, SAP Reltio allows workflows to be created or customised to support more specific governance processes.
Different entity types, for example, may require different approval steps and responsibilities:
Example – Entity Type A
Proposed Change → Review 1 → Review 2 → Approve/Reject
Example – Entity Type B
Proposed Change → Automatic Process → Review 1 → Approve/Reject
The standard Data Change Request workflow does not automatically cover every possible variation of these processes. Additional workflow configuration or customisation may therefore be required during implementation.
This is particularly relevant for larger organisations with more complex governance requirements, where approval processes need to reflect internal responsibilities, approval structures and business rules.
